Privacy Policy

1. Information we collect

When you use Astral Field, we process business and project data you enter (customers, contacts, projects, assessments, estimates, tasks, hours, expenses, invoices, photos and documents) and account data for the users of your organization (name, email, role).

2. Information accessed via QuickBooks Online

If you connect QuickBooks Online, you authorize Astral Field to access your QuickBooks company data through Intuit’s API using the com.intuit.quickbooks.accounting scope. Depending on your use, this may include:

• Customers and contacts
• Invoices and invoice status
• Payments and accounts receivable
• Products/services and tax information where applicable
• Company/account information needed to match and sync records

We request only the access needed to synchronize records between Astral Field and QuickBooks. Astral Field is the operational system of record; QuickBooks remains your accounting system of record.

3. How we use the information

We use QuickBooks data solely to provide the integration you requested — to match and link customers (avoiding duplicates), and to create or update invoices, customers and payment records between Astral Field and QuickBooks. We do not use your QuickBooks data for advertising or profiling.

4. How we store and protect it

• Data is stored in a managed PostgreSQL database (hosted on Supabase) and file storage for photos/documents.
• All traffic is encrypted in transit using HTTPS/TLS.
• OAuth access and refresh tokens for QuickBooks are stored securely and used only to call the Intuit API on your behalf; they are never exposed to other users.
• Access is restricted by authentication and role-based permissions within your organization.

5. Data sharing

We do not sell your data. We do not share your QuickBooks or business data with third parties except: (a) infrastructure providers that host the service (e.g., our cloud database and hosting), acting on our instructions; and (b) Intuit, to provide the QuickBooks integration you enabled; or (c) where required by law.

6. Data retention and deletion

We retain your data for as long as your organization uses Astral Field. When you disconnect QuickBooks, we stop syncing and the stored OAuth tokens for that connection are deleted, so Astral Field can no longer access your QuickBooks data. You may request deletion of your Astral Field data by contacting us at the address below; we will delete or anonymize it within a reasonable period, subject to legal retention obligations.

7. Your rights

Depending on your jurisdiction (including California’s CCPA/CPRA), you may have rights to access, correct, or delete your personal information, and to know how it is used. To exercise these rights, contact us using the details below.
